
Final Headcount for Your Wedding
Getting an accurate final headcount is one of the most stressful parts of wedding planning. Venues and caterers need numbers 2-4 weeks before the big day, but guests are notoriously bad at responding on time.
When to Set Your RSVP Deadline
The ideal RSVP deadline is 4-6 weeks before your wedding. This gives you:
- 2 weeks to chase non-responders
- Time to finalize seating charts
- Buffer for your caterer's deadline (usually 2 weeks out)
How to Chase Late RSVPs
Week 1 after deadline: Send a friendly text or email. "Hey! Just checking if you can make it to our wedding on [date]. We need to finalize numbers with our caterer by [date]. Let us know!"
Week 2: A phone call is appropriate. Be direct but kind.
After week 2: Assume no response means no. This is standard etiquette.
Setting Up Your RSVP System
- Use a wedding website with online RSVP (tracks responses automatically)
- Include a response card with a self-addressed stamped envelope for traditional invitations
- Ask for meal preferences and dietary restrictions in the RSVP
- Request a "plus one" name for seating charts

Guests Who Don't Respond

Final Numbers Checklist
Once you have your final count, verify:
