Wedding Day Timeline: Perfect Hour-by-Hour
Why Timelines Fail
According to wedding coordinator surveys, 67% of weddings run 15-45 minutes behind schedule. The top causes: underestimated hair and makeup time, late vendor arrivals, and speeches that run long. This timeline builds in buffers at every transition point.
Morning Preparation (8:00 AM - 12:00 PM)
8:00 AM — Hair and makeup begins. Budget 2.5 hours for bride plus 2-3 bridesmaids. Order food delivery for the getting-ready suite.
8:30 AM — Groom and groomsmen arrive at their prep location. Keep it simple: shave, dress, photos. 90 minutes maximum.
10:30 AM — Photographer arrives for detail shots (dress, rings, invitations, shoes). These take 20-30 minutes.
11:00 AM — First look photos (if doing one). Allocate 45 minutes for couple portraits.
11:45 AM — Wedding party photos. 30 minutes for groups of 10 or fewer.
Ceremony Block (12:00 PM - 1:00 PM)
12:00 PM — Guests arrive. Background music playing. Program distribution.
12:15 PM — Processional begins. Allow 10 minutes for all participants to walk.
12:25 PM — Ceremony (20-30 minutes for non-denominational, 45-60 for religious).
12:55 PM — Recessional and immediate family photos (15 minutes).
Cocktail Hour (1:00 PM - 2:00 PM)
1:00 PM — Guests move to cocktail area. Drinks and passed appetizers begin.
1:00-2:00 PM — Couple takes extended portraits while guests socialize. This is the photographer golden window.
Reception (2:00 PM - 6:00 PM)
2:00 PM — Grand entrance and first dance.
2:15 PM — Welcome and blessing. Dinner service begins.
3:00 PM — Speeches (limit to 3 speakers, 5 minutes each maximum).
3:30 PM — Cake cutting, parent dances.
3:45 PM — Dance floor opens.
5:30 PM — Bouquet toss (optional), last dance.
6:00 PM — Send-off.
Buffer Rules
- Add 15 minutes between every major transition
- Build a 30-minute float between ceremony and reception
- Assign one person (not the couple) as timeline enforcer
