Why Final Headcount Matters So Much

Your caterer needs an accurate headcount 2-3 weeks before the wedding. Too many = wasted food ($45-85 per uneaten plate). Too few = guests going hungry. Plus, your venue may charge per-person fees. Getting the headcount right saves you $1,000-$5,000.

Setting Your RSVP Deadline

The ideal RSVP deadline is 4-5 weeks before the wedding. This gives you 1-2 weeks to chase non-responders before your caterer's deadline (usually 2-3 weeks before). Put the deadline prominently on your invitation and wedding website.

The Chase Strategy (For Non-Responders)

  1. 1 week after deadline: Send a friendly text/email: "Hey! Just checking if you got our invitation — we'd love to know if you can make it!"
  2. 2 weeks after deadline: Phone call. Be direct: "I need to give our caterer a number by Friday. Can you let me know today?"
  3. 3 weeks after deadline: Assume "no" and move on. You can always add a seat if they show up last-minute.

Common Headcount Challenges

Plus-Ones

Be clear on invitations: "We have reserved __ seats in your honor" (fill in the number). If you didn't invite a plus-one, don't feel obligated to add one when asked.

Children
